Welcome to the Jackalope Vendor Logistics for our upcoming fair in Olde Town Arvada. Everything you need for the fair is listed below.

When you arrive, please CHECK IN with us (see below load in map for location).  We'll be able to show you to your booth space from here and give you important fair reminders.

Load In & Out

Food Trucks: Please arrive one hour prior from the start of the show; 9am Saturday & Sunday.

Load in for all booths will begin at 6am on Saturday, October 5th. The fair starts promptly at 10am. Please note you CAN’T come setup your items on Friday!

Once you arrive please check in with us at the information booth, corner of 57th and Olde Wadsworth (white star on below map).

Using the below map you can identify which loading zone is closest to your booth location. There are both alley and street loading zones available. Once you unload please move your vehicle to permanent parking at the RTD/Olde Town Hub (see below for further details). Load in options are as follows:

  • 57th Ave Artists ONLY: Can drive in from Yukon/57th heading East. Please note this street will open back up after the event, tents and equipment must be pushed to the back. You can drive in to pack up any items overnight, and back in Sunday morning.

  • The Alleyway that runs behind the Army Navy Surplus Store and Arvada Tavern. As well as the alley on the other side of 57th that runs in-between the Credit Union and church.

  • The Alleyway that runs behind the Arvada Library, behind Olde Town Square.

  • Marked parking spaces in the Community Banks of Colorado Lot (@Grandview & Olde Wads by tracks)

  • Street Loading Zones that run along Grant Place (pay attention to street signs to make sure you are in the right place).

Notice there are more of you than spaces, so please be swift and once you unload move your vehicle to vendor parking right away BEFORE booth setup.

Vendor Parking:

Unload your vehicle FIRST then setup AFTER you move your vehicle to permanent parking.

You can park in the RTD/Olde Town Hub located at: 5575 Vance St
Please display a vendor parking pass on your dashboard in order to avoid tickets- please write your booth number.

Overnight?

You may leave your tent and display materials up overnight between event days, but we suggest you pack up merchandise. 57th Ave Artists ONLY: this street will open back up after the event, tents and equipment must be pushed to the back. You can drive in to pack up any items overnight, and back in Sunday morning.

There will be security overnight, but we do NOT recommend you leave valuable or small items, also in case of inclement weather. Insurance is a great idea as well to protect your personal property.

Sunday Load Out

Pack up your items FIRST before you bring your vehicle to the loading zone. Same loading zones apply for load out.

Please do not leave any trash or empty boxes behind- leave the space how you found it. We will have a dumpster located on the corner of Grandview & Olde Wadsworth Blvd in the parking lot of the Community Banks of Colorado.

DO NOT PACK UP UNTIL THE EVENT ENDS (5pm SAT & SUN). EVERYONE MUST REMAIN SETUP THE ENTIRE TIME, ANYONE WHO PACKS UP EARLY WILL NOT BE INVITED BACK.

Booth Requirements

WEIGHTS: Weights are REQUIRED for your tent, no staking allowed- you will be on concrete. We will be going around to make sure your tent has the required weights.

TENTS / CANOPIES: Tents are required for all 10x10 spaces. If you are in an independent 6x6 booth space, please consider a smaller canopy, umbrella or another form of protection if you prefer overhead covering. Please note no equipment is provided.

Event Rentals: We will not be offering event rentals for this event. However if you are in need of a tent, table or chair rentals we recommend the following:


Permits & Licensing

The below information will help you to apply for and pay your taxes to both the State of Colorado and City of Arvada.  We’ll need a copy of your COLORADO SPECIAL EVENT LICENSE NUMBER by September 20th, so please send that to us when you’ve obtained it using the form below if you did not send it to us already:

State of Colorado Tax Information: 

Anyone and everyone making retail sales at one or more special sales events must obtain a special event license. A special sales event is an event where retail sales are made by more than three sellers at a location other than their normal business location(s) and that occurs no more than three times in any calendar year. It is unlawful for any person to engage in the business of selling at retail without first having obtained a license.  Anyone who sells retail in Colorado without obtaining a sales tax license commits a class 3 misdemeanor and may also be subject to civil penalty of $50 per day to a maximum penalty of $1,000.

Special event license requirements apply to sellers participating in the event regardless of whether such sellers have been issued a standard retail sales tax license for their regular business location. Special event licenses apply only to retail sales made at the special sales event by the seller to whom the license is issued. The license does not apply to sales made at the seller's regular business location or at any other location.  The special event license and special event sales tax return ensures the proper tax is paid to the city, counties and special districts in which the event is held.

Therefore, vendors must file a DR0098 Special Event Retail Sales Tax Return for every event they attend.  If a taxpayer does not file, a non-filer estimated return will be assessed on the account.

Show promoters are required to submit a list of vendors for their shows for audit.

City of Arvada Sales Tax:

Please fill out a special event application (below) and return form upon completion of the event and mail it to the City of Arvada (8101 Ralston Road) with any sales tax collected.

Food Vendors:

  • If you are prepackaged you must either comply with the Department of Environmental Health’s Rules Governing Food Establishments or with the Colorado Cottage Foods Act.

  • Food Trucks must provide a copy of their license to attend the event. Please note that Denver County licenses are not accepted. Please send to us by September 20th.

Yelp Elite Promotional Opportunity

We are working with the local Yelp team to get some promo going. Leading up to the fair, a newsletter will go out to the Yelp Colorado Elite Community promoting the upcoming event. The first 50 Yelp Elite members to check in with us at the fair will receive a tote bag and postcard promoting any Jackalope Artisan who wishes to extend an incentive to the Yelp Elite. This could be a small discount, every purchase comes with a sticker etc....

Is the event dog friendly?

Leashed pets are welcome.

Is electricity available?

There is no electricity available onsite. Please bring any power you will need.

Does Olde Town have wifi?

There is not city wide wifi, we recommend you get a hot spot.

Do you require Insurance? 

We do not require a copy of your insurance, but we recommend you get it. As it states in our contract, we will not be responsible for any loss or damage of Artisans property, injury to, or death of the Artisan, or Artisan Sales.  We have partnered with ACT Insurance to offer discounts to our vendors on their policies. See below for details.

Additional Opportunities & Promotions

Contribute to the Jackalope Boutique

At the fair, we often have many makers who create special "jackalope" themed items (aka, items with Jackalope's on them!).  We love highlighting these awesome creations and would like to feature them all together in our own "jackalope themed" booth at the front of the fair.  

One of each jackalope themed item will be on display and labeled with the artist name, price, and booth number.  If someone is interested in purchasing your item, we'll send them your way!  We won't actually sell your products, this is just a fun way to give you some extra promotion and to spread some jackalope love.

Jackalope Boutique items can be brought directly to us at the fair, however if you send us a photo and information earlier we will share it on social media!

Let’s flood social media together! We will be doing a social media takeover leading up to the fair! How this will work is that on the same day, we will all post about the fair and use this graphic.
